For more than thirty years, Universal experts have consulted with clients to implement compliant background screening programs tailored to their unique needs.

We are looking for an Executive Assistant (EA) to support our executive team who will manage business related tasks for the team and will report to the CEO. They must be detailed, organized, a problem solver, flexible, proactive and resourceful. The EA will be interacting with staff at all levels in a fast-paced environment.

Responsibilities

  • Answering phones, taking messages and routing calls to the appropriate individual

  • Filing and retrieving records, documents and reports while maintaining confidentiality

  • Using Microsoft Office suite to complete daily tasks

  • Arrange travel, accommodation, itineraries, and all correspondence as related to arrangements needed

  • Prepare reports, presentations, data, as well as maintaining files, records and correspondence for meetings

  • Reading and analyzing incoming memos and distributing them as needed

  • Sorting and distributing incoming faxes, emails and other correspondence

  • Provide general administrative support to the executive team

  • Maintain calendars and schedules of the CEO and executive team as needed

  • Help with general HR admin duties as needed

  • All other duties as assigned by the CEO

Requirements and Skills

  • Bachelors degree in business administration or related filed preferred

  • Experience as an Executive Assistant or other administrative experience required

  • Ability to work with a sense of urgency and in a fast pace environment

  • Advanced understanding of MS Office suite

  • Ability to organize daily workload by prioritizing

  • Proactive approach to problem-solving with strong decision-making skills

  • Self-directed able to work without supervision while eager to tackle new tasks

  • Professional verbal and written communication skills

  • Ability to plan ahead and anticipate needs of the executive team

  • Strong follow up skills with excellent accuracy and attention to detail
